Parties and definitions

BIAD's The Academy Space is a trading name of AR International Holdings Limited.

The hirer is the person or company that rents the training space under these terms and is referred to in this document as “the hirer”.

These terms apply to hire of BIAD's The Academy Space training space at Unit 1 Hollies Court, Cannock, WS11 1DB.

Bookings and payment

Cancellation and changes

Please contact us as soon as possible if you need to change or cancel a booking. Refunds are handled in line with the arrangement confirmed by our team at the time of booking.

Use of the space

Hirers are responsible for lawful use of the space, the proper care of all equipment, and leaving BIAD's The Academy Space in a clean, tidy and reasonable condition at the end of each hire.

Cleaning before you leave

Before vacating, it is the hirer’s responsibility to clean the areas you have used. This includes (but is not limited to) the training room, conference/lecture space, tea/coffee making facilities and toilets. In practice, this means:

Failure to leave the space in an acceptable condition may result in additional cleaning charges.

Access, stairs and mobility

BIAD's The Academy Space training space is located on the first floor and is reached by stairs only. There is no lift and no step-free or disabled access to the academy. The premises are not suitable for wheelchair users or for anyone who cannot use stairs independently and safely.

If you are unsure whether the access arrangements are suitable for any attendee, you must contact management before booking to discuss this. By proceeding with a booking, you confirm that you have considered access requirements and accept these limitations.

BIAD's The Academy Space is not responsible for any injury, loss or inconvenience arising from the hirer’s failure to ensure that attendees can access and use the premises safely via the stairs, except where liability cannot be excluded by law.

Internet and Wi‑Fi use

Where Wi‑Fi is made available during your hire, it is provided for reasonable business use connected with your training or event. By connecting, you agree to use it in a safe and lawful manner.

BIAD's The Academy Space may restrict or withdraw access if use is unlawful, unsafe, excessive or likely to harm the network or others. We may report serious misuse to the relevant authorities where required.

CCTV

CCTV cameras are in operation at BIAD's The Academy Space (Unit 1 Hollies Court, Cannock, WS11 1DB) in and around the premises, including areas such as entrances, hallways, the training and conference spaces, tea/coffee making facilities and external areas (including the car park where fitted).

Recordings are made for legitimate purposes including the security and safety of people and property, crime prevention and detection, resolving incidents, and managing and protecting the premises. CCTV is operated by AR International Holdings Limited (trading as BIAD's The Academy Space) as data controller, in line with UK data protection law.

It is the hirer’s responsibility to make everyone attending under their booking aware that CCTV is in use on the premises (including staff, trainers, models, delegates, visitors and contractors), in addition to any privacy notices or consents the hirer must give for their own training activities.

Insurance

Hirers must hold appropriate insurance for their activities, including (where relevant) public liability insurance and any other cover required for their training, treatments, demonstrations or events. You should ensure your policy covers use of third-party premises and the nature of work carried out at BIAD's The Academy Space, with limits of cover that are adequate for the number of people attending (trainers, staff, models, delegates and visitors) and the value of cover (indemnity limits) appropriate to your activities and risks.

On request, you may be asked to provide evidence of insurance before or during your hire. If you do not maintain adequate insurance, you do so at your own risk.

Fire safety and emergency procedures

Before your hire begins, the hirer and their staff must familiarise themselves with the fire precautions at BIAD's The Academy Space, including fire exits, escape routes, assembly points, fire-fighting equipment (where provided) and any other emergency procedures shown on site or explained by our team.

You must brief all visitors, models, delegates and contractors on these arrangements as soon as they enter the building, so everyone knows how to leave safely in an emergency.

You must follow all fire safety instructions, keep escape routes and exits clear at all times, and never disable or obstruct fire safety equipment. If the fire alarm sounds, everyone must evacuate immediately using the nearest safe exit and go to the designated assembly point.

It is the hirer’s responsibility to keep a register of all attendees (including staff, models, delegates and visitors) for each hire, so that everyone on site can be accounted for in an emergency.

In any emergency (including fire, serious injury or other immediate danger), you must call the emergency services straight away (dial 999) and then contact BIAD's The Academy Space management as soon as it is safe to do so on 07776715119.

No smoking and vaping

Smoking and vaping are not permitted anywhere inside BIAD's The Academy Space. This includes cigarettes, cigars, pipes, e-cigarettes, vapes and any similar devices.

Under UK law, including the smoke-free requirements that apply to enclosed or substantially enclosed workplaces and public places, smoking is prohibited indoors. While you hire BIAD's The Academy Space, the premises must be treated as a smoke-free workplace for your event. You and your attendees must comply with these legal requirements as well as our policy. Breach of smoke-free law can result in fines and enforcement action against those responsible.

If you or your attendees smoke or vape, this may only take place in the designated outdoor area shown to you on arrival. You must stay well away from doors, entrances, windows and air intakes, dispose of waste safely in the bins provided, and ensure smoke does not enter the building. You are responsible for making sure everyone on your booking follows this policy.

Accidents, injury and legal claims

To the fullest extent permitted by law, the hirer accepts sole responsibility for the safety and conduct of themselves and all persons attending under their booking (including staff, trainers, models, delegates, visitors and contractors).

This includes any accident, injury, loss, damage, complaint, legal action, court proceedings or claim (whether against BIAD's The Academy Space or any third party) arising from or connected with your hire, how your event is run, or the acts or omissions of you or your attendees — whether occurring inside the academy, in adjoining pathways, hallways, entrances, toilets, tea/coffee making facilities, car park or any other part of the building or site you use or access in connection with your booking.

You agree to indemnify and hold BIAD's The Academy Space harmless against claims, costs, damages and expenses arising from such matters, except where liability cannot be excluded by law.

Property and parking

BIAD's The Academy Space takes no responsibility for personal or business property brought onto the premises by the hirer or any attendee. This includes equipment, stock, valuables, documents, vehicles and their contents.

Parking is available on site where provided; vehicles are parked at the owner’s risk. We are not responsible for theft, damage, loss, vandalism, collision or any other incident affecting vehicles or property left in the on-site car park or anywhere on the premises, except where liability cannot be excluded by law.

You should make your own arrangements to secure and insure property and vehicles.

Promotional use of social media and public content

Unless the hirer has notified BIAD's The Academy Space in writing before booking that they opt out of this section, by hiring BIAD's The Academy Space the hirer grants BIAD's The Academy Space (and AR International Holdings Limited as the owner of the trading name) a perpetual, non-exclusive, royalty-free licence to use, reproduce, publish, distribute and display any photographs, videos or other media relating to the hirer’s training, demonstration, course or other activity during their hire that are made publicly available by the hirer, its employees, contractors, trainers, models, delegates, attendees or agents on social media platforms, websites or other public channels.

To opt out, the hirer must email [email protected] or write to us at Unit 1 Hollies Court, Cannock, WS11 1DB, stating the booking dates and that they do not consent to promotional use under this section. Opt-out applies only where acknowledged in writing by our team before booking.

Such use is solely for BIAD's The Academy Space’s promotional, marketing and advertising purposes (including website, social media, brochures and similar materials).

The hirer warrants that it has obtained all necessary rights, permissions and consents required for BIAD's The Academy Space to use such content (including, where relevant, consent from individuals who are identifiable in the content) and shall indemnify BIAD's The Academy Space against any claims, losses, damages or expenses arising from BIAD's The Academy Space’s use of such content in accordance with this section, except where liability cannot be excluded by law.

Questions and clarification

If you are in doubt or unclear about any of these terms, policies or procedures (including stairs and mobility access, safety, cleaning, insurance, fire arrangements, CCTV, Wi‑Fi, promotional use or anything else relating to your hire), it is the hirer’s responsibility to raise this with BIAD's The Academy Space management and obtain clarification before booking.
